Web Cast Coordinator

Job Title: Web Cast Coordinator

Job Purpose: To coordinate, schedule, and manage the Web casting of sessions at the TESOL Convention

Duties:

Work with the EV Coordinator, CALL-IS Chair(s), Chair(s)-elect, specific EV Event Lead(s), and TESOL Director of Conference Services to:
Schedule Web casting of events, e.g. the CALL-IS Academic Session, various InterSection sessions, specific EV events (EV Fair Classics)
Recruit/organize/train volunteer Web Cast Leads and Assistants
Identify the most appropriate venue/interface for Web casting, e.g. Elluminate, DimDim, Alado.net and publicize instructions for it
Publicize the Web cast schedule to TESOL constituencies
Work with on-site and off-site presenters to assure quality Web casts
Record the Web casts, upload them, and publicize the location of the recordings.

Timeline:

JULY:
Schedule Web casting of events, e.g. the CALL-IS Academic Session, various
InterSection sessions, specific EV events (EV Fair Classics).

AUGUST/SEPTEMBER:
Recruit/organize volunteer Web Cast Leads and Assistants.
Identify the most appropriate venue/interface for Web casting, e.g. Elluminate, DimDim, Alado.net.
Assure the necessary equipment to be available (LAN Internet connection, USB microphone/headset, side table to hold laptop(s) for Web casting
Locate documentation and/or tutorials for the selected venue/interface or create instructions
Contact the TESOL Director of Conference Services (Lisa Dyson, ldyson@tesol.org) to assure the necessary equipment to be available (LAN Internet connection, USB microphone/headset, side table to hold laptop(s) for Web casting)

NOVEMBER:
Put instructions, documentation, tutorials on a Web page (Wiki or GoogleDoc)—see Elluminate Training at http://steeringcallis.pbworks.com/)
Schedule training of Web Cast Assistants for Web casting (offer several dates)

Early DECEMBER:
Hold training sessions of Web Cast Assistants for Web casting

JANUARY:
Hold additional training sessions of Web Cast Assistants for Web casting (as needed)

Mid-FEBRUARY:
Publicize the schedule to the CALL-IS e-list (callis-l@lists.tesol.org), other TESOL e-lists, Webheads (evonline2002_webheads@yahoogroups.com), etc.

Early MARCH:
Re-publicize the Web cast schedule just prior to the Convention
Set up time with presenters to upload their materials to be Web cast

At the TESOL Convention:
Work with presenters at the Convention to assure quality Web casts (upload the presenters’ materials ahead of time; contact off-site presenters; recordings, etc.)
Check all equipment (speakers/microphone) and set-up (side table for Web cast team)
Record the Web casts and upload the recordings to a Web page (Wiki or GoogleDoc)

After the TESOL Convention:
Publicize the location of the recordings to the CALL-IS e-list (callis-l@lists.tesol.org), other TESOL e-lists, Webheads (evonline2002_webheads@yahoogroups.com), etc.
